We’re looking for an experienced Office Manager who can lead people, manage vendors, elevate client experiences, and execute operational tasks that drive monthly goals. What You’ll Do
Operations & Leadership
- Lead daily office and call center functions to ensure seamless operations and high service quality.
- Track, manage, and help achieve monthly performance and operational goals.
- Maintain operational documentation, workflows, and internal processes.
Client Interactions & Escalations
- Act as a primary escalation point for internal teams, transportation fleets, and insurance partners.
- Deliver professional and timely resolutions via phone and email.
- Ensure high quality customer service standards across all touchpoints.
Vendor & Contractor Management
- Lead coordination with external partners, including:
- Marketing contractors
- Sales support vendors
- Technology service providers
- Ensure deliverables meet expectations, timelines, and performance metrics.
AI & Technology Utilization
- Use AI tools to enhance:
- Call summaries
- Task tracking
- Email management
- Workflow optimization
- Support adoption and best-practice usage of AI across operations.
Cross-Functional Collaboration
- Partner with finance, sales, dispatch, and customer support teams to improve operational effectiveness.
- Contribute ideas and insights that help refine processes and elevate performance.
What We’re Looking For
- 3+ years in office management or operations, preferably in call center environments
- Strong phone presence with excellent customer service communication
- Experience managing vendors, contractors, or external service partners
- Highly organized, proactive, and execution-driven
- Comfortable using AI tools and operational software
- Strong email and written communication skills
- Ability to thrive in a goal-oriented, fast-paced setting
- Experience serving transportation, fleet management, or insurance sectors.
