Job Duties & Responsibilities Serve as the primary point of contact for the Managing Director, managing internal and external communications with discretion and professionalism. Oversee the Managing Director’s calendar, ensuring alignment with strategic priorities, meetings, and industry events. Prepare, review, and coordinate executive-level reports, presentations, and board materials. Facilitate cross-departmental coordination to drive initiatives, publishing schedules, and key projects. Support strategic planning by conducting research, preparing briefings, and tracking key performance indicators.
- Organize board meetings, executive retreats, and client or stakeholder engagements, including agenda preparation, documentation, and follow-up on action items.
- Manage confidential information, contracts, and sensitive company matters with utmost discretion.
- Handle high-level travel arrangements, itineraries, and logistics for domestic and international engagements.
- Lead or support special projects, process improvements, and initiatives that enhance executive office efficiency.
- Anticipate executive needs and proactively solve problems before they arise.
Qualifications And Skills
- Bachelor’s degree in Business Administration, Management, Communications, or related field; MBA or professional certification is an advantage.
- 7–10 years’ experience supporting C-suite executives.
- Experience in publishing, printing, or related industries is an added advantage.
- Exceptional written and verbal communication skills; ability to engage confidently with senior stakeholders.
- Strong strategic thinking, project management, and organizational abilities.
- High proficiency in Microsoft Office Suite, collaboration, and project management tools.
- Ability to maintain confidentiality and exercise judgment in high-stakes situations.
- Knowledge of publishing, printing, or creative production workflows is preferred.
- Strong interpersonal skills and emotional intelligence to navigate executive-level relationships.
- Detail-oriented, professional, and highly ethical.
